Transforming the Events Industry: AI’s Impact and Potential

The world of events is constantly evolving, and staying ahead is crucial; historically, technology has played an important role in event planning, management, and production.

Now with the rapid rise of artificial intelligence (AI) we begin to see how this new tool is infiltrating the events industry and changing the way we work.

At Ovation Global we believe that technology plays a key role in events and hope to shed light on the integration and challenges of AI in the events industry through a recent survey.

What is AI?

AI, or Artificial Intelligence, is the simulation of human intelligence in machines. It can process data, learn from it, and make decisions or perform tasks autonomously. In the events industry, AI offers a multitude of benefits, enhancing the overall experience for both event organizers and attendees.

From personalized event recommendations to predictive analytics, AI streamlines event management, maximizes engagement, and helps deliver more memorable and efficient events.

Survey Results:

We explore the key findings of our most recent survey and provide insights into how AI is transforming the events landscape.

It’s interesting to note that of 591 survey responses more than 2/3 of the participants were planners as opposed to 1/3 suppliers.

Awareness and Usage of AI in Events

Although AI seems to be a hot topic in recent months, our survey reveals that while 51% of respondents were aware of AI’s potential in events, only 12% have actively implemented AI into their event planning or management process.

This suggests that while the concept is recognized, there is still room for growth in adoption.

Current Integration of AI in Events

The survey delved deeper into the specific applications of AI in the events industry. It was found that AI is most commonly used for the following purposes:

  • Marketing & Outreach: 33% of respondents would use AI to create marketing plans and outbound marketing material.
  • Logistics & Planning: 21% would employ AI for streamlined event planning and logistics.
  • Data Analysis: 15% use AI for data analysis to gain insights into attendee preferences and behaviour, allowing for data-driven decision-making.
  • Chatbots and Virtual Assistants: 9% employ AI-powered chatbots or virtual assistants to improve attendee engagement, provide real-time assistance, and manage event inquiries.
  • Content: 8% use AI to curate presentation and event content, ensuring that sessions and speakers are aligned with attendees’ interests.

Challenges of Implementing AI

While AI shows promise in the events industry, the survey also identified several challenges and fears that organizations face.

Lack of expertise and understanding was the main concern when implementing AI into the events industry. This was followed by fear of losing the human touch, cost, and attendee acceptance.

Future Outlook

Most survey participants agree that AI will play a larger role in events in the upcoming years, yet almost 70% believe that AI will only be present in larger events or specific segments. While 60% believe that AI will supplement and reduce traditional job roles in the event industry.

Artificial intelligence is expected to play an increasingly significant role in the events industry. Although challenges remain, the survey results show an interest in AI’s capabilities to improve event planning, execution, and attendee experiences.

As the industry continues to adapt and innovate, AI is set to become a useful tool for event professionals. Driving greater engagement, efficiency, and innovation in the years to come.
